The implementation of these guidelines aligns with instructions from the Reserve Bank of India (RBI) to banks and introduces accessible e-KYC procedures.

Limitations on Personal Information Changes: 

EPFO has imposed a limitation on changing personal information to prevent potential fraud. Subscribers are now advised not to change their personal information more than once. This restriction is aimed at curbing unauthorized changes and maintaining the integrity of subscriber data.

Implementing Policies to Combat Fraud: 

The policy shift comes as a response to fraudulent attempts to alter personal information. By implementing these guidelines, EPFO intends to create a secure environment and protect subscribers from unauthorized changes to their records.

Modifications to applications are promptly resolved : 

EPFO has also addressed the time taken for resolving application modifications. Minor modifications are expected to be resolved within a week, while major modifications should be addressed within 15 days. This efficient approach ensures that changes to personal information no longer linger in a pending state for months.

Warning for Violations and Subscriber Engagement: 

EPFO has taken a strict stance against violations of these regulations. Officials failing to adhere to the guidelines will face consequences. Subscribers are encouraged to visit regional offices to update their personal information on their EPF accounts. This proactive engagement is a step toward accurate and up-to-date subscriber data.

Joint Declarations for Personal Information Updates: 

To update personal information, employees must collaborate with their employers and submit joint declarations to regional offices. While EPFO doesn't provide an application deadline, the absence of an immediate response to applications has been acknowledged. This recognition is crucial in ensuring subscribers' understanding of the process.

Expanded Scope of Personal Information Updates: 

EPFO's new policy allows for updates to various personal details, including Subscriber Name, Gender, Date of Birth, Parent's Name, Relationship Status, Marital Status, Joining and Leaving Job Dates, Nationality, and Aadhaar Number. However, marital status changes are permitted only once, while other information can be modified just once.

Categorizing Changes and Attestations: 

Changes to personal information are categorized as minor and major. Minor changes involve alterations like surname adjustments after marriage or minor name corrections. Major changes, such as complete name additions or significant alterations in date of birth, undergo careful review by authorized officers.

Documentation for Personal Information Changes: 

Minor changes require two attestations for validation, while major changes necessitate three. When submitting applications through the Unified Portal, certification documents should accompany the application. The process then continues to the owner login page.

Seeking Resolution and Support: 

 In case personal information modifications aren't promptly acknowledged, EPFO has introduced a dedicated category for subscriber complaints through the EPFIGMS portal. Additionally, family members or heirs can submit joint declarations for personal information updates in case of the subscriber's demise without an Aadhaar or designated heir.

Verification and Authority: 

Closed industry workers making joint declarations have their claims verified by authorized entities such as Magistrates, Gazetted Officers, Bank Managers, and others designated by the EPF Commissioner. This verification process adds an extra layer of authenticity to the updates.
